Thesis submission procedure

When the mentor approves the student’s final thesis for submission and before printing, the student must send it to the e-mail address: [email protected] (so that the student office and the library will receive it) for technical revision – it must be in electronic form so that corrections can be inserted into the document. The thesis must be proofread before submission. The student must also submit the form OBR-FUDŠ-007 (Review and submission of diploma and master’s thesis) to the same e-mail address with completed field A (mentor’s statement) and field B (author’s statement). Field C is completed by the librarian after the technical revision and the form is then submitted to the office. The technical revision shall be completed within 14 days from the submission of the thesis. 

If further revision of the final thesis is required, the student submits the document again to the e-mail address: [email protected] along with the following:

  1.  a copy with corrections inserted by the librarian
  2. a copy with corrections taken into account – corrected version.

The technical revision shall be carried out again within 14 days from the submission of the corrected thesis.

The thesis shall also be tested for plagiarism. The student and the mentor will receive a plagiarism detector report by email. In case of discovered similarities, the student consults the mentor and not the professional service in the Office or in the Library.

Upon final submission, the final thesis must be appropriate from the linguistic point of view (proofreader’s receipt is not required).

The student submits the final thesis in electronic form in pdf format to the e-mail address: [email protected]ds.si.

The Student office then forwards the final thesis to the Student and Academic Affairs Commission, which appoints the Commission for Defense. The Student and Academic Affairs Commission meets approximately once a month. The members of the Commission for Defense shall decide if the submitted thesis is appropriate for defense within 14 days of receiving the thesis. Should there be any doubts whether the thesis is suitable for defense or not, they shall inform the Student Office in writing; the Student Office records this on the OBR-FUDŠ-007 form and sends it to the student and the mentor.

The Student Office shall send a notice to the members of the Commission for defense and to the candidate at least 7 days prior to the date of the defense. The notice shall state the date, time and place of the public defense.

The student shall submit one bound printed copy of the thesis to the Student Office within 14 days after the successful defense. At the same time, the student shall also submit the final version of the thesis on a CD in pdf format.

After receiving a bound copy of the thesis, the Student Office issues a certificate to the student on the successfully completed defense of the bachelor’s or master’s thesis, which is valid until the award of the bachelor’s (or master’s) degree.

The Student Office then submits the final thesis in both formats to the SASS library.

The final thesis must be written and technically arranged in accordance with the technical instructions for writing professional and scientific works („Navodila za pisanje strokovnih in znanstvenih del na FUDŠ“)

(NEW) FREQUENTLY ASKED QUESTION: Payment is not required for the final thesis and the defense if a student with student status submits the final thesis and a certificate of completed technical revision and plagiarism test to the e-mail address [email protected] until 30 September of the current academic year, provided that the student defends the thesis within 30 days after its submission. In order to ensure that the defense is completed before the deadline for the defense, we strongly recommend that students submit the thesis no later than August. 

  1. The candidate applies for the topic of doctoral thesis on the form OBR-010. The topic is discussed by the Scientific Research Commission and a mentor is proposed to the candidate, unless the candidate has already proposed a mentor.
  2. The candidate submits the disposition of doctoral thesis on the form OBR-011. The disposition is considered by the Scientific Research Commission, which submits a proposal to the Senate to appoint the commission to assess the suitability of the disposition. The members of the commission must provide an opinion on the disposition within 30 days. The report of the members of the commission is considered by the Senate, which adopts a positive or negative assessment of the disposition on this basis.
  3. The candidate must pass the Dissertation Seminar in the 3rd year of study. Part of the obligations is carried out through participation in lectures held by the course coordinator prof. Matej Makarovič, PhD. The other part of the obligations is carried out when the candidate submits the doctoral thesis by email to [email protected], after the approval of the mentor and after having completed the obligations regarding the lectures. The dissertation is discussed by the Scientific Research Commission, which appoints a 3-member commission. The latter is present when the candidate presents the thesis (a sort of „trial“ before the defense).
  4. The members of the commission must submit their assessments of the doctoral thesis within 1 month from the day of appointment. The assessments are considered by the Senate, which accepts or rejects the doctoral thesis on this basis or returns it to the candidate for amendment or supplement and sets a reasonable deadline for corrections. If the Senate accepts the doctoral thesis, it appoints a commission for the defense of the thesis. The date of the defense is coordinated.

The Senate is expected to meet once a month.

The Student Office shall send a notice to the members of the Commission for defense and to the candidate at least 7 days prior to the date of the defense. The notice shall state the date, time and place of the public defense.

The student shall submit three bound printed copies of the thesis to the Student Office within 14 days after the successful defense. At the same time, the student shall also submit the final version of the thesis on a CD in pdf format (2 copies).

After receiving a bound copy of the thesis, the Student Office issues a certificate to the student on the successfully completed defense of the doctoral thesis, which is valid until the award of the degree.

The Student Office then submits the final thesis in both formats to the SASS library.
