Location

The Student and Academic Affairs Office of the School of Advanced Social Studies is located at Gregorčičeva ulica 19 in Nova Gorica, with a dislocated unit at Leskoškova cesta 9/e in Ljubljana.


Services of the Student Affairs Office

The Student and Academic Affairs Office (Student Affairs Office) is the central point for administrative and study-related support for all SASS students. We are committed to ensuring a smooth study experience and providing answers to all your questions. Our team assists you with all key procedures and matters, from enrolment to the final steps of your studies.

Our priority is to provide clear, up-to-date, and accessible information. We understand that studying can be demanding, which is why we are here to simplify administrative procedures and allow you to focus on your academic work.

Most services can now be completed through the Web Office, while for more complex matters or personal guidance, we are available in our offices.

The Student Affairs Office manages all matters related to your enrolment and student status:

  • First enrolment: Support throughout the entire first-enrolment process, including information on required documentation and deadlines.
  • Enrolment into a higher year and the additional year (absolventski staž): Assistance with enrolment into a higher study year or the additional year, in accordance with the published progression requirements.
  • Transfers and programme changes: Guidance and support with transfers from other institutions or changes of study programme within SASS.
  • Status arrangements: Providing information and assistance with obtaining, extending, or reinstating student status.

The Student Affairs Office issues all official certificates and documents you may need during your studies:

  • Types of certificates: We issue certificates of student status (for scholarships, transport, employment), certificates of completed exams and grade point average, as well as other certificates as required.
  • Request procedure: Most certificates can be ordered and collected through the Web Office, with a preparation time of a few working days.
  • Thesis defence certificate: After a successful defence of the bachelor’s or master’s thesis, the office issues a certificate valid until the official award of the diploma.

For specific study-related situations, you may submit a request or application, and the Student Affairs Office will provide guidance and assistance.

Submitting requests and accessing forms:

  • All requests are submitted through the Moodle online classroom.
  • The forms are available under the section Study Forms in the Moodle online classroom. Important: Attachments or supporting documents are mandatory for all requests.

Note: Through the Web Office, you can submit only the thesis topic proposal, thesis outline, and final thesis.

Deadlines and Processing

  • For consideration by the Student and Academic Affairs Commission (KŠŠZ) and the Scientific Research Commission (KZRD): Your request must be submitted no later than three working days before the meeting (i.e., by Thursday preceding the session).
  • You will be informed of the decision within seven days after the meeting of the competent commission.
  • Other requests are submitted at various times throughout the year, in accordance with the instructions of the Student Affairs Office.

More information on which requests are considered by the Student and Academic Affairs Commission and the Scientific Research Commission  is available in Moodle.

It is important that you are familiar with the procedures for exam registration and the rules of assessment:

  • Registration and withdrawal: Exam registrations and withdrawals are carried out exclusively through the Web Office. Please follow the published deadlines, as late changes cannot be processed.
  • Number of attempts: Please refer to the “Rules on the Verification and Assessment of Student Knowledge” available on Regulations page, which specify the deadlines for registration/withdrawal and the maximum number of permitted exam attempts.
  • Exam review: After the publication of results, you may request an inspection of your exam documentation by prior arrangement with the course holder (professor).
